1. Overview

As a JavaMania dropshipping partner, you may supply your own coffee bags for us to fill, label, and ship on your behalf. This service allows you to ensure consistent branding, meet specific design requirements, and stand out in a competitive market. However, preparing your own bags requires careful planning and adherence to the guidelines below to accommodate scheduling, operational, and regulatory concerns.


2. Design & Regulatory Requirements

Bag Design

  • Branding & Label Elements: You or a designated professional can create the design.
  • FDA Label Compliance: You are responsible for ensuring the design meets all FDA labeling requirements (e.g., ingredient statements, net weight, contact information).
  • Variable Data Fields: JavaMania can supplement your design with variable fields (e.g., roast date, blend, customer details). See JavaMania Variable Label Fields for more information.

3. Bag Production

Vendor Selection

  • Choose a reliable packaging vendor for production.
  • Negotiate lead times in advance, as any delays at the printing stage can affect your site launch date.

Bag Specifications

  • One-Way Valve: Must allow CO₂ to escape without letting air in.
  • Bag Sizes: Must match the sizes you are offering from JavaMania’s standard offerings:
    • 12-ounce
    • 2-pound
    • 5-pound
  • Material Quality: High-barrier laminates recommended to preserve freshness.
  • Final Proofs: Obtain a proof from the vendor and sign off before mass production.

4. Quality Review & Shipping to JavaMania

Quality Assurance

  • Inspect a sample batch of the printed bags (color accuracy, valve functionality, sealing properties) before sending them to JavaMania.
  • Ensure labeling, including variable data space, is clear and fits the final printed area.

Shipping Requirements

  1. Sample Deadline:

    • Send a sample of your bag media to JavaMania at least 3 weeks prior to your partner site launch date.
    • This allows JavaMania to confirm layout compatibility, printing alignment for variable fields, and bag performance.
  2. Full Shipment Deadline:

    • All bags must arrive at JavaMania at least 1 week prior to your launch date.
    • If the bags do not arrive on time, your site launch might be delayed.
  3. Tracking & Communication:

    • Provide shipping details (tracking, carrier info) to JavaMania so we can plan receiving and storage:

5. Operational Considerations

Inbound Processing Time

  • Upon arrival, JavaMania may need additional time for inbound inspection, labeling tests, and inventory reconciliation.
  • Be prepared to accommodate up to 2–3 business days for us to complete these internal processes before your bags are ready for filling and shipping.

Inventory Management

  • You are responsible for monitoring and maintaining sufficient bag inventory at JavaMania.
  • We recommend having a buffer stock to accommodate unanticipated sales spikes or shipping delays from your vendor.

Resupply & Lead Times

  • Factor in vendor production lead times (which can vary seasonally) and shipping transit times to avoid running out of bags.
  • Plan resupply orders in advance—consider placing new bag orders 6–8 weeks before your on-hand stock is depleted.

Damaged or Defective Bags

  • JavaMania will notify you if a batch arrives damaged or fails to meet quality standards (e.g., faulty valves or misprints).
  • You will need to coordinate replacements or refunds with your packaging vendor.

Site Launch Coordination

  • Launch Date Adjustments: If bag shipments are late or if there are quality issues, JavaMania may not be able to meet the originally planned launch date.
  • Testing & Verification: Prior to “go-live,” both parties should test packaging, labeling, and shipping processes to avoid last-minute complications.
